How to Create an Account or Check Your City Resident Status in WebTrac

Creating a New Household Account

To create a new household account, visit WebTrac, click on "Login" at the top of the screen. From the account login screen, click on the "Need a New Account" link and follow the on-screen instructions.

Have an Existing Account and Want to Know Your City Resident Status?

To check the status of your household, log on to WebTrac and enter your account information. From My Account, go to Update and click on Household & Member. You'll be able to see your home address status in the table listed.

Registration Tips

The first day of registration for each season is very busy on WebTrac, as many people try to get into popular classes. The following tips will help you get a jump on registration!

  • Do I really need to register on the first day? Our programs can fill up on the first day of registration, so we highly recommend registering early for our more popular children's programs. You can always see the number of openings currently available for your class in of WebTrac.
  • Visit WebTrac early and practice using the site before the first day of registration. Test logging in with your account information. If you have forgotten your password, you can request a password reset be sent to the email listed on your account. If you have not provided a valid email, you will need to call our registration office (831) 420-5270 to update your email, so a password reset email can be sent.
  • Make sure that each family member that you want to register in a program is listed on your family's account. New children will need to be added to your account by staff. It is highly suggested that you do this before the first day of registration. If there is a problem or you need to add someone, call our registration office (831) 420-5270.
  • Online registration for Summer programs will open on Saturday, April 12, 2025 at 8:00 am. In-Person registration will be available beginning Monday, April 14, 2025 at 8:00 am, and phone-in registration will begin at 9:00am.
  • Don't panic if the system is busy, just keep trying. On the morning of registration, the volume of web traffic is expected to be high. If, when you first login to WebTrac, you get a message telling you the system is busy, just wait a moment and try again.
  • Test your Device before registration day. WebTrac may look different on some mobile devices.
  • Accessing WebTrac while traveling outside the U.S. Access to WebTrac is restricted in some countries. If you cannot access the site via a normal web browser, you will need to login through a Virtual Private Network (VPN). If you do not have access to an VPN, plan ahead. Provide your account login information to a trusted neighbor or family member and have them register for you.
    • WebTrac Access is available from: Argentina, Australia, Austria, Belgium, Bolivia, Brazil, Canada, Chile, Colombia, Costa Rica, Croatia, Czech Republic, Denmark, Ecuador, Estonia, Finland, France, French Guiana, Germany, Greece, Guyana, Hungary, Italy, Japan, South Korea, Latvia, Luxembourg, Malta, Netherlands, New Zealand, Paraguay, Peru, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Suriname, Sweden, Turkey, United Kingdom, United States and Uruguay.
    • City residents must verify their home address prior to registration.
  • Have the activity numbers of the programs you are interested in at hand, as well as your credit card. You don't need to rush through the process, but do keep moving.
  • See our Registration Refund Policy before making decisions to sign up for too many items!
  • If you are on the waitlist for a program, please do not show up to the class. We will contact you if a spot opens up and register you before you are able to attend class. We make waitlist calls in order and give each person at least 24 hours to respond before moving to the next customer. Please know that we are very diligent with our waitlists and will call you as soon as possible.

Home Address Verification

  1. The following documents are accepted for proof of residency:
    1. Current utility bill from the last ninety (90) days with your address and name listed;
    2. State or Federal issued ID card or driver’s license;
    3. Bank statement from the last ninety (90) days;
    4. Rental/Lease agreement or mortgage statement/property tax receipt; or
    5. Other official government correspondence with your name and address listed with date issued from the last ninety (90) days, such as: DMV Vehicle Registration Renewal Notice, Voter Registration Card or Confirmation, Social Security Statement, Correspondence from a County or City Government Office.
    You may wish to redact any sensitive information from the document before submission.

  2. You can update the status of your account by submitting any of the above either in-person, via fax or email. Emailed confirmations can be sent to parksandrec@santacruzca.gov.

Frequently Asked Questions (FAQ)

Where can I register for a class or activity?

Activity registration is available 24/7 online using WebTrac. Additionally, walk-in registration is available at two convenient locations within city limits (Parks & Recreation Office or the London Nelson Community Center). Registration by phone is available by calling (831) 420-5270, Monday through Friday, 9:00 am - 12:00pm, 1:00pm - 4:00 pm (PST). Please note seasonal registration rules may limit when and how you may register, such as time and place. See the Activity Guide for more information.

I tried entering my username and password in WebTrac and have been unsuccessful in logging in. Why doesn’t the system recognize my account information?

Your username and password may have expired or you may be locked out of your account due to too many unsuccessful attempts. You can log onto WebTrac to recover your password, but you will need to contact our office to reset the account lock out. Please call the registration office at (831) 420-5270, Monday - Friday, 8:00 am to 5:00 pm for assistance.

How do I setup an account with Parks & Recreation?

To setup an account online using WebTrac, click on the link next to the “Need an Account?” question under the Member Login panel on the WebTrac splash page. To setup an account in-person, visit any of our two convenient locations (Parks & Recreation Office or the London Nelson Community Center).

What do I need in order to setup an account?

Online and in-person account setup requires users have a valid email address, home address, unique login, and phone number. Note: in order to be considered a Resident, your account address must be located within Santa Cruz City limits.

I created an account online, but why is the system listing me as Nonresident?

All new accounts created using WebTrac are recorded with a status of Nonresident until we can verify your home address. Confirming your home address is simple. You can visit either of our conveniently located in-person sites (Parks & Recreation Office or the London Nelson Community Center); or send us an email at parksandrec@santacruzca.gov with your information.

Types of documents used to confirm your home address include the following:

  1. Current utility bill from the last ninety (90) days with your address and name listed
  2. State or Federal issued ID card or drivers license
  3. Bank statement from the last ninety (90) days (redact any sensitive information)
  4. Other official documents with your name and address listed with date issued from the last ninety (90) days

Why does this error message keep coming up when I try to register for an activity (age older than or equal to “X” and younger than or equal “X”)?

This message appears when the registrant has not met the age requirements for the activity. The registrant must be of the age listed in the course information by the first day of the scheduled activity. A valid birthdate must be inputted on the registrants account. To update your account information, please call (831) 420-5270 or email webtrac@cityofsantacruz.com and speak with a customer service representative. Be sure to include your name, contact information and request.

Why do I have to enter my birth date information?

WebTrac calculates age using birthdate information. In order to register for activities that have an age requirement, birthdate information is required to be listed on the member’s record. To update your account information, please call (831) 420-5270 or email webtrac@cityofsantacruz.com and speak with a customer service representative. Be sure to include your name, contact information and request.

What's the City's tax ID to be used for child care expenses?

While the Parks & Recreation Department does not provide cumulative child care receipts, you can find all of your household receipts in WebTrac. Simply login and go to My Account. The City's tax ID is #94-6000427.
